Join our business operations team which keeps Bain in excellent shape, functionally, financially, and otherwise. We work on budgets, buildings, travel, and legal questions to channel resources and improve processes to help the business see and achieve its commercial ambitions.


WHERE YOU’LL FIT WITHIN THE TEAM


The successful candidate for this position will oversee all aspects of payroll tax compliance and reporting for our U.S. offices. They will ensure timely and accurate payroll tax processing, manage tax filings for federal, state, and local payroll taxes, and ensure full compliance with all regulatory requirements. The Payroll Tax Manager will also be responsible for maintaining and updating payroll tax procedures, job aids, and employee documentation. This role will lead and inspire one Payroll Tax Specialist, implement and maintain modern payroll tax systems and represent finance with other internal departments and employees as the subject matter expert for this essential compliance function.


WHAT YOU’LL DO


60% Payroll Tax Processing and Team Development

  • Oversee the accurate and timely processing of payroll taxes, ensuring compliance with federal, state, and local tax regulations.
  • Manage payroll tax filings, including quarterly and annual reports (e.g., Form 941, 940, W-2s, etc.).
  • Maintain detailed and accurate payroll tax records and reports for audits and internal reviews.
  • Ensure compliance with payroll tax laws, including new legislation, changes, and amendments.
  • Reconcile payroll tax accounts and resolve any discrepancies or issues with taxing authorities.
  • Maintain, research and respond to payroll tax-related inquiries and notices from federal, state, and local agencies.
  • Provide support and expertise during payroll tax audits, ensuring any findings are addressed promptly.
  • Stay updated on changes in tax laws and regulations to ensure compliance and implement changes as necessary. 
  • Overall maintenance and development of policies and procedures related to the payroll tax function with an understanding of their correlation to other cross-department impacts.
  • Develop and coach team members and prepare/deliver team member performance reviews.


10% Cross-Functional Collaboration

  • Partner with Payroll, HR, Tax, and Accounting team members to implement processes and procedures that facilitate effective information sharing between the functions.


20% Process Documentation & Process Improvements 

  • Maintain accurate documentation and records, ensuring that transactions comply with internal policies and procedures.
  • Help identify risks and implement new controls as needed.
  • Actively participate with the management team in cross-functional business improvement initiatives.


10% Provide Excellent Customer Service

  • Promptly and accurately respond to employee inquiries regarding pay calculations, tax withholding, and tax reporting.


ABOUT YOU


Required:

  • Bachelor’s degree in business or related fields.
  • 5-8+ years of experience in payroll/payroll tax
  • Working knowledge of payroll tax regulation as well as general knowledge of taxable fringe benefits.
  • Multi-state payroll tax filing/payroll and workers' compensation audit experience.
  • Experience with payroll processing systems, such as Workday Payroll and ADP Payroll.
  • Exceptional attention to detail and strong analytical skills
  • Commitment to continuous improvement in processes and personal development.
  • Ability to effectively train and be trained, even in a remote setting.
  • Excellent interpersonal and communication skills, with a flexible and adaptability to change
  • Proven ability to effectively prioritize tasks and supervise others in a fast-paced, dynamic environment
  • Previous management experience required


Preferred: 

  • Experience in payroll tax management; prefer payroll tax service provider-related experience.
  • Proficiency with ADP SmartCopliance
