WHERE YOU’LL FIT WITHIN THE TEAM 

The successful candidate for this position will oversee all aspects of payroll processing for the organization’s Brazilian entities. This role ensures that employees are paid accurately and on time, complies with all federal, state, and local payroll regulations, and maintains detailed payroll records. The Payroll Manager will lead the payroll team, coordinate with various departments, and implement and maintain payroll systems and procedures. Additionally, this role will oversee the accurate recording of payroll expenses, assist the accounting team with integrating payroll data into the accounting system, and perform account analysis for the payroll account. This position also ensures compliance with all internal policies and procedures and applicable regulatory requirements.

WHAT YOU’LL DO 

Payroll Processing and Team Development

  • Oversee all Brazil payroll processing activities handled by the team, including semi-monthly and monthly pay runs, pay calculations, employee status changes, benefit deductions, etc.
  • Ensure timely and accurate filing of all payroll-related tax returns and manage year-end tax reporting for employees.
  • Research and resolve complex payroll issues, such as cross-border taxation and the vesting/taxation of deferred compensation plans.
  • Stay informed about payroll-related legislation and implement necessary changes.
  • Collaborate with ADP to address and resolve processing issues.
  • Develop and coach team members and prepare/deliver team member performance reviews.
  • Perform duties required for departmental, corporate, and banking needs and take on additional tasks and projects as assigned.

Cross-Functional Collaboration

  • Partner with HR and Finance team members to implement processes and procedures that facilitate effective information sharing between HR and Payroll functions.
  • Collaborate closely with the corporate tax department to ensure federal and provincial regulations adherence.

Process Documentation & Process Improvements 

  • Maintain accurate documentation and records, ensuring that transactions comply with internal policies and procedures.
  • Help identify risks and implement new controls as needed.
  • Collaborate with the Senior Manager to enhance existing internal and external systems and continuously improve processes and procedures.

Provide Excellent Customer Service

  • Respond to employee inquiries about pay calculations, taxes, deductions, and benefits promptly and accurately.
  • Serve as a prominent customer service representative for the company, addressing inquiries from cost center managers, domestic and international controllers, and other finance department staff.

ABOUT YOU

Required Qualifications

  • Bachelor’s degree in business, accounting, or related fields.
  • 5-8+ years of experience in payroll management, specifically in Brazil
  • Fluency in English, both written and oral
  • Experience in a supervisory role or in effectively leading a team.
  • Comprehensive understanding of Brazilian payroll systems, tax regulations, and labor laws
  • Experience in payroll software and the Microsoft Office Suite.
  • Experience in understanding and applying the Consolidation of Labor Laws (CLT). This includes knowledge of work hours, overtime, paid leave, and termination procedures.
  • Experience with Brazilian tax laws, including social security contributions (INSS), income tax (IRRF), and other mandatory taxes.
  • Experience with payroll software that complies with Brazilian regulations, such as eSocial.
  • Knowledge of mandatory benefits like the 13th salary, vacation pay, etc
  • Understanding regulations related to employee health and safety, including compliance with the Brazilian Regulatory Norms (NRs)
  • Experience in maintaining accurate payroll records and preparing reports required by government agencies, such as those related to eSocial and the Annual Social Information Report (RAIS)
  • Experience processing payroll for foreign employees.
  • Experience handling labor audits and inspections by government agencies, ensuring that all payroll practices comply with legal requirements.
  • Understanding cultural norms and practices related to work and compensation in Brazil can help effectively manage a diverse workforce.


Preferred Qualifications

  • Fluency in Spanish, both written and oral
  • Experience in payroll processing within the professional services industry
  • Proficiency with ADP eXpert or ADP Celergo
  • Experience with HRIS systems
  • Central and South America payroll processing experience
  • Experience with multinational companies.
