Position Summary:

Based in our Madrid office, the Recruiting Specialist will work on the development, management and execution of Associate Consultant (AC/ACI) recruiting for Bain Iberia. As a member of the team, you will be the “face of Bain & Company” to many of our new hires, whose primary initial interactions will be with the Recruiting Specialist. A strong customer mindset and attention to detail are critical to its success. Additionally, the Recruiting Specialist will assist in the management and execution of the centralized recruiting initiatives for Iberia by orchestrating logistics and coordinating interviews. 

Key Responsibilities and Duties:

Planning and Strategy: 

  • Partner with Recruiting LT and rest of Recruiting team to build a recruiting strategy to achieve the right quality, quantity and diversity of hires 
  • Run recurrent meetings to provide updates on success of the strategy on a regular basis, giving updates and initiatives overviews to ensure we are on track


Facilitate interviews and other 1-on-1 recruiting initiatives

  • Overall responsibility for the interview logistics; support the in-office/Zoom interview process. Use Avature (Bain recruiting system) to support the process
  • Act as point-of-contact for all candidates and interviewers, schedule interview times, generate interviewee/interviewer memos, send confirmation emails, and assist with travel reservations/logistics, as needed; assist with candidate registration, managing candidate questions, and conflicts


Event Planning and Execution & other Logistics

  • Attend key events throughout the year, both at the office and Universities
  • Support team in planning and ensuring execution of all logistics
  • Overall responsibility for the development of presentation content and materials
  • Assist in commitments process for recruiting events, helping the recruiters, as needed
  • Perform other administrative duties as requested or as responsibilities dictate


Operational:

  • Maintenance of Bain Recruiting system (Avature ATS, Applicant Tracking System)
  • Create, update and audit event details regularly to ensure ATS serves as the ‘system of record’ for recruiting events at Bain
  • Track changes to ATS records and process changes when appropriate; ensure all appropriate parties are notified (e.g., different members of the Recruiting Team)
  • Liaise with the rest of the team to ensure data changes are entered properly
  • Flag and escalate any issues to supervisor or colleagues, ensuring the integrity of data within our systems
  • Work closely with the Sr. Specialist and Sr. Manager to standardize processes and implement support across channels
  • Assist with offer and closing process for offerees, including offer letters and other paperwork, coordinating closing activities, recruit gifts and expense reimbursements


On-going responsibilities

  • Work with the HR, Staffing and Professional Development teams to effectively onboard and integrate new hires, recommending changes where needed  
  • Oversees the management of the recruitment inbox (including responding to correspondence, creating meeting and event invitations, sending rejections/invitations)   
  • Accountable for maintaining an effective system for storing materials on our internal database 
  • Acts as “the face of Bain recruiting”, presenting updates at meetings with senior stakeholders, sending office-wide communication, etc. 
  • Creates content and leads team meetings 


Qualifications:

  • Bachelor’s and Master’s degree (preferably with a specialization in human resource management/ talent acquisition)
  • A minimum of 3 years of experience within the Talent Acquisition/ Recruiting team
  • Outstanding written and verbal communication skills in both Spanish and English
  • Portuguese is a plus
  • Experience working with an applicant tracking or candidate management system, Avature ATS systems experience highly preferred
  • Computer literacy – Comprehensive knowledge of Microsoft required (Outlook, Excel, PowerPoint, Word)
