Department and Role Overview
The Recruiting Process Admin is a member of a regional team that recruits experienced talents for a wide range of roles and is deeply committed to creating a seamless experience for hiring leaders and candidates. The Recruiting Process Admin partners with recruiters on administrative tasks throughout the recruiting process. The majority of the role is focused on scheduling and managing the logistics of candidate interviews, updating the applicant tracking system and identifying ways to increase efficiency in the coordination process.
The Recruiting Process Admin must demonstrate the highest professional standards, independence, and ownership of daily responsibilities. This individual will support the recruiting team in attracting exceptional talents for various positions across the globe. The person will act as the central contact for all candidates throughout the talent journey and manage their application status accordingly.
The role is based in Warsaw and we are working hybrid (40% from the office)
Responsibilities:
- Coordinate and execute all aspects of interview scheduling which requires timely and accurate communication with recruiters, hiring managers and candidates
- Support candidates by addressing questions and calendar conflicts
- Notify the recruiters of any challenges in the interview scheduling process or escalate candidate questions requiring their attention
- Update applicant tracking system (ATS) throughout the recruitment process, including opening and posting new roles and interview scheduling
- Draft and send approved offer letters to candidates
- Provide HR with all necessary information to start the onboarding process for new hires
- Keep recruiters updated throughout the closing process
- Back up colleagues supporting general consulting recruiting including activities such as application screening, interview scheduling, sending digital assessment, scheduling coaching and debrief sessions, supporting recruiting days, and others
- Support process optimization projects within the stream and across the department
- Other recruitment-related activities as needed
Requirements:
- Bachelor’s degree required
- 1-3 years of experience in recruitment, HR, administration, ideally in professional services organization
- Fluency in English (C1 level)
- Prior experience with ATS or HRIS systems is a plus
- Self-starter with strong organizational and problem-solving skills - ability to meet deadlines, prioritize assignments, and manage multiple tasks simultaneously in a fast-paced, customer-focused environment
- Ability to work both independently and as an integral part of various teams
- Strong process management skills and attention to detail
- Ready to work from Bain GBS office in Warsaw 2 days a week
