Position Summary:

As a member of the Toronto HR team, the HR Sr. Specialist acts as an HR Business Partner for their assigned employee cohort in the Toronto. The Sr. Specialist will be the primary point of contact for specific HR programs, tasks & initiatives, escalating high priority items to the Sr. Manager as necessary. The programs are important pieces of Bain’s employee value proposition, thus a focus on customer service, attention to detail and strong communication is critical in the execution of these programs.  The HR Sr. Specialist actively collaborates with the broader Toronto HR, Payroll, Benefits & Program Management teams, as well as with the regional HR Shared Services Center (SSC), Americas Regional Talent team and broader office leadership.

Responsibilities and Duties

  • Workday system administration and reporting for the assigned employee cohort
  • Provide onboarding support for first year Consultants, including tracking offer letters, coordinating with SSC on entering information into Workday with correct start dates and ensure all employee records are kept up to date with all relevant offer letters, contracts and agreements.  Work with the SSC to process relevant signing and relocation bonuses. 
    • Liaise with HR, Recruiting and the Global Onboarding teams to ensure successful onboarding for all new consulting staff  
    • Partnering with the Events Specialist in organizing logistics for new hire training for new consultant hires
    • Present various onboarding sessions during HR orientations throughout the year
    • Confirm work authorization statuses and collect new hire forms, and upload into Workday
  • Administer HR programs related to people movement such as transfers, externships, and LOAs
    • Responsible to discuss options, policies, and deadlines with employees
    • Oversee transfers for assigned populations
    • Oversee externship process for assigned cohort, including confirming timing with Staffing team, preparing and finalizing required paperwork and coordinating with HR SSC on Workday entries
    • Partner with the benefits manager in administering medical, parental, and other legislated leaves of absence
    • Oversee the non-legislated leaves process (Take 1 / 2, personal unpaid, educational leaves)

 

  • Provide performance evaluation and promotion process support, including:
    • For cohort members in a performance watch/underperformance situation, ensure the performance management processes are implemented and check-ins are occurring 
    • Create and deliver underperformance and re-tenure memos and messaging
    • Work with the Consultant Program Management team to handle tricky performance management situations and provide recommendations as necessary, with oversight from HR Sr. Manager as needed
    • Own HR logistics for promotion processes, ensuring communications, collaboration with SSC and important deadlines are being met and promotion documentation is created, executed 

 

  • Administer compensation processes in coordination with regional compensation team
    • Point of contact for employees and Program Managers on compensation questions, liaising with compensation Center of Excellence as needed 
    • Review monthly Individualized Progression/click-up data, audit files for accuracy and completeness and partner with the compensation Center of Excellence to address any discrepancies
    • Prepare and distribute employee compensation memos (salary and bill level changes, bonus payments, etc.)
    • Review profit sharing data and ensure memos are distributed
    • Support Snr. Manager, HR and Talent in annual bonus process and other compensation programs
  • Onboarding of new employees (all staff)
    • Oversee and participate in various start-up and integration activities for new hires; work with startup teams to ensure successful integration of new hires; develop formal and informal orientation programs specific to positions
    • Administer processes associated with business school offers, including offer letter preparation and delivery, tuition payment set up and contracts, working with Finance team as needed on bonus payments and education expense reimbursement procedures
    • Own required immigration processes for the assigned cohort; coordinate with external immigration firm and/or internal immigration team as appropriate, complete required paperwork and track visas & permits approvals/expiries in Workday
  • Manage Departures & Transition Program for assigned populations
    • Discuss with employees the options available, resources, and what to expect/next steps
    • Conduct exit interviews and deploy departure check list
    • Calculate departure bonuses and generate memos
    • Generate, process, and track paperwork as well as ensure local teams are notified such as TSG/Office Services/Payroll/Bain Career Advisory/Finance when processing departures

  • Work with SSC to ensure departure information and documentation is entered into Workday
    • Team with Snr. Manager, HR & Talent on employee relations issues, including performance management processes
    • Perform other HR-related duties and projects as assigned or as responsibilities dictate

Requirements & Qualifications:

  • Bachelor’s degree or an equivalent combination of education, training and/or experience is required
  • A minimum of 5 years HR professional experience is required
  • Previous use of HRIS systems is required; experience with Workday preferred
  • Outstanding written/verbal communication skills, strong customer service skills; ability to work independently and as an integral member of various teams
  • Highly motivated self-starter with the ability to thrive in a fast paced and changing environment
  • Working proficiency in French is a bonus
