Department and Role Overview

EMEA HR Operations is a part of a global team and collaborates closely with Bain offices across the EMEA region. Junior HR Administrator in EMEA HR Ops team will work closely (remotely from Bain GBS Warsaw office) with local HR teams from Bain offices across EMEA on day to day tasks and processes.

The role is based in Warsaw and we are working hybrid (40% of the time you will be required to work from the office).

Responsibilities:

  • Employee administration
    • Managing updates in the HR system (Workday) 
    • Administering employee life cycle and all updates in the HR system
    • Preparing and tracking people movement (hires, departures, job changes, transfers, leaves) and communicating them to relevant stakeholders in supported offices 
    • Conducting regular audits for data to ensure compliance  
    • Preparing, managing, and analyzing necessary reports
    • Tracking and maintaining vacation balance, maintaining consistency across systems related to vacation tracking  
    • Managing time and absences of employees 
    • Taking care of compensation administration 
    • Managing of employees performance review  
    • Supporting year-end and mid-year bonus calculations
    • Supporting the process of onboarding of new joiners, including logistics
    • Supporting the medical check process
  • Background check administration
    • Supporting our vendors with background checks  
    • Taking care of background checks administration 
  • Benefits administration 
    • Ensuring people movements (hires, departures, job changes, leaves) are notified on time to benefits providers  
    • Administering employee life cycle and all updates in the insurance system 
  • Documents administration
    • Creating documents connected with the employee lifecycle   
    • Creating compensation memos and upload them on the HR systems for delivery through employee self-service 
    • Management of personal e-files of employees 
  • Payroll administration
    • Managing updates in the Payroll system 
    • Administering employee life cycle and all updates in the Payroll system
    • Supporting fleet administration
  • Mobility administration
    • Supporting the work permit process for new hires, transfers, and employees traveling abroad for Bain business (training, client case, etc.) in supported offices 
    • Supporting transfer processes in supported offices in collaboration with Global Mobility, Staffing, and employees

Requirements:

  • BA degree or an equivalent combination of education, training and experience 
  • 1- 2 years of experience in HR administration or professional services 
  • Previous use of HR systems nice to have
  • Record of customer-facing experience and collaboration with diverse teams
  • Fluent English (at least C1 level)
  • Fluency in any other language would be a plus 
  • Good knowledge of Microsoft Office (Outlook, Excel, PowerPoint)
  • Flexibility and high adaptability to working environment
  • Great communication skills and ability to work in a team
  • Meticulous attention to detail
  • Proactive approach and strong problem solving skills
